Authors' ORCID

ORCID – Open Researcher and Contributor ID – is a non-profit organization whose purpose is to create a public registry of researcher identifiers.

An ORCID iD is a unique identifier assigned to a researcher, to which they can link their publications, affiliations, and scholarly activities. It enables authors to be uniquely identified and helps resolve cases of name ambiguity. It is integrated with other open access systems and with major databases, such as Scopus and Web of Science.

ORCID and OJS

The riviste.unimi.it platform is integrated with ORCID. The ORCID plugin enables journals to connect publications to the ORCID profiles of registered authors, eliminating the need for authors to manually update their ORCID records.

Preliminary steps
  • The journal: must first request that the Journals Office configure the ORCID plugin in OJS.
  • The author:
    • must be registered with ORCID;
    • once an ORCID iD has been created, it can be added to the OJS profile: on riviste.unimi.it, after logging in, click View Profile from the menu beneath the user name. In the Public tab, select Create or Connect Your ORCID iD and enter the ORCID URL in the following format: https://orcid.org/xxxx-xxxx-xxxx-xxxx
Procedure

1) THE AUTHOR

After registering  with ORCID.org and obtaining an ORCID iD (or verifying their ORCID), the Author can register the ORCID iD in OJS.

When submitting a new manuscript, the Author selects New Submission and, in the Contributors step, verifies that their ORCID iD is present by going to Contributor List > click on the author’s name > Edit and checking that the ORCID iD has been entered in the Homepage URL field .

N.B.: entering an ORCID iD is not sufficient in itself to establish communication with ORCID, but it facilitates the Editor’s work by eliminating the need to search for the author’s ORCID iD.

2) THE EDITOR

In the Publication menu of the Submission, under Contributors, the Editor must either click Add Contributor or Edit the existing author information and verify or complete the following fields:

  • Email contact: enter the author’s email address so that they can receive the ORCID authorization request email;
  • Country;
  • Affiliation;
  • verify the existence of the author’s ORCID iD on the ORCID website and enter it in the author’s Homepage URL field in OJS if missing, using the full URL format with the HTTPS prefix, for example: https://orcid.org/xxxx-xxxx-xxxx-xxxx;
    check the option “Request verification” under ORCID iD field in order to send email to request ORCID authorization from contributors.

At this point, the author will receive a confirmation email from OJS and must click the “Register or Connect your ORCID iD” link to associate their ORCID iD with the OJS submission.

The author’s ORCID profile will be updated only after the issue to which the article has been assigned has been published. When the issue is published, the article will automatically be sent to the associated ORCID profile.

If the author receives an error message such as “It was not possible to add this manuscript to your ORCID record”, they should log in to their account at orcid.org, open the User menu on the right-hand side, select “Trusted Parties”, and verify that “University of Milan – Riviste” appears in the list of trusted organizations and is enabled.

The procedure is also valid when using the QuickSubmit plugin; in this case, the editor should follow the instructions described in step 2.

Affiliation's ROR

ROR – Research Organization Registry – is the unique identifier for research organizations, serving as the institutional counterpart to ORCID which identifies individual researchers.

Its purpose is to disambiguate and consolidate under a single identifier all the different variants by which an institution may be named or referenced.

Procedure

From the Affiliation field under the Contributor field, enter the name of the institution in the same language in which you are completing the proposal, and then select the entry with the ROR logo from the list that appears.

Once selected the properentry, there is no need to fill out the affiliation field in multiple languages.

If no results are returned, the institution’s presence in ROR can be verified by searching directly at ROR.org, and the official form identified there can then be used to refine the search in OJS.

Once the appropriate institutional form has been saved, institutions selected through ROR will be displayed in the front-end interface together with the corresponding ROR icon.

Funding data

Under the Publication menu of the submission, go to Funding data to add funder.

The “funder name and identification” field derives from Crossref’s list of funders. As you fill in this field, the data is automatically populated from the CrossRef database.

Data Avalaibility Statement

iThenticate/Turnitin

For access to iThenticate, only one user account per journal can be configured.

Procedure

To activate the plugin, the following steps are required:

  • Provide riviste@unimi.it with the name and email address of a designated contact person who, in addition to accessing iThenticate, must be assigned the Journal Manager role in OJS (as access to OJS configuration settings is required).
  • The Journals Office creates the user account in iThenticate.
  • The user receives an email from iThenticate containing the login link and a one-time password. The user logs in to iThenticate, changes the password, and records it, as it must later be entered in OJS.

Important: the password saved in OJS remains visible in plain text. It is therefore advisable to choose a password that is not used for other services.

The password must meet the following requirements:

  • minimum 6 characters;
  • no spaces;
  • only alphanumeric characters or underscores (no punctuation marks);
  • not composed exclusively of numbers.

The user then logs in to OJS and enters the credentials in the plugin (Settings > Website > Plugins > iThenticate Plagiarism Detector Plugin: check the box to enable it and click Settings from the drop-down menu), entering the email address and password configured in iThenticate.

Upon receipt of the first submission (or a submission entered by an Editor, provided that QuickSubmit has not been used), OJS automatically sends it to iThenticate. A journal-specific folder is then created in iThenticate and assigned to the authorized user. Each user can view only the folder associated with their own journal.
